Retention Policies allow you to configure how long you would like data to be stored within the platform. These retention policies are global across all environments within your account. By default retentions policies are set to “Do not store”. In order to activate a Retention Policy, you must agree to store data as per the OneBlink Data Storage Disclaimer.
Retention Policies
There are 4 types of retention policies:
- Submission Data: Form data that is captured once the form is submitted
- Workflow Attachment Links: Links to download attachments included in email workflow events (default 7 days)
- Draft Data: Form data that is stored when a draft is saved
- Prefill Data: Prefill data is used for approvals, jobs, and any custom pre-filled data
Setup a Retention Policy
Step 1: To start configuring a retention policy navigate to the Administration Account side menu and scroll down to the Retention Policies section.
Step 2: For the specific retention policy you would like to set click the "Setup Policy button".
Step 3: Please ensure you have read the Data Storage Disclaimer and then check the box stating that you do want to store data. Specify the number of days you would like data to be stored in the platform and click the "Save" button.
Note: If you would like to permanently store your data within the platform select the "Forever" button.
Form Policies
Manage your specific data retention polices to enable OneBlink LcS to store data for individual forms.
Step 1: Click the "Add Retention Policy" button to add a specific retention policy to a form.
Step 2: Please ensure you have read the Data Storage Disclaimer and then choose the form that you would like to set the retention policy for. Next check the box stating that you do want to store data, enter the number of days you would like data to be stored in the platform and click the "Save" button.
Note: These form policies will overwrite any account retention policies you have configured.
